Kwantz values your privacy. We want to process your personal data in a legal, correct and transparent manner. Would you like to know how we take care of your personal data at Kwantz? Then be sure to read this privacy statement. We explain which personal data we collect and process from you as a natural person, why, for how long and how you have control over this.

​In this privacy statement, we always refer to your data as a customer, potential customer, former customer or other data subject, e.g. beneficiary, contact person in a company, business partner, etc. In whatever capacity, Kwantz always treats with the same care your personal data as a natural person. This privacy policy also applies when you visit our office, social media, exhibition stand, etc.

When does this privacy policy apply and who is responsible for it?

This privacy statement applies to the processing, in particular the collection, management and use, of your personal data as a natural person by Kwantz. All personal data is managed by Kwantz, Kouter 3, 9790 Wortegem-Petegem.

Which data is processed?

By personal data we mean all information about an identified or identifiable natural person. This concerns data that you have provided to us yourself, that we assign to you for the use of our products, that we obtain through the use of our products or data that we have received from third parties.

​It concerns data to identify you (name, address, customer number, account number…), to contact you (address, telephone or mobile number, fax, e-mail, user name, …) and to provide you with the correct service (which products you use, preferences and interests, activity, feedback…).

For what purposes do we process your data?

Personal data is processed for various purposes. However, we ensure that we only collect and process data that are adequate, relevant and limited to what is necessary for the purposes for which they are processed.

We use your personal data as follows:

  • To comply with our legal obligations;
  • If we have received your permission to do so.  If you wish to withdraw your consent, you can contact us via the usual channels;
  • For the execution of an agreement and/or to be able to assess whether a contract can be concluded.
  • If we have a legitimate interest to do so (processing for research purposes, dispute management and legal risks, complaint management and after-sales service, exercising and safeguarding our rights, …). In doing so, we ensure that the balance between those legitimate interests and the impact on your privacy is not disturbed in any case.
  • To do direct marketing. If you do not want this at all, we explain below how you can exercise your right to object to this.

Unfocused images (both photo and film) can be made of events organized or sponsored by us. Some of these images will be used in our newsletter, on Kwantz social media or for other publicity purposes. The photos are stored on our servers for 5 years.

How do we secure your data?

Internally, we at Kwantz take the necessary technical and organizational measures to protect your personal data, both in our office and via our website. For example, we employ the necessary firewalls that protect external access from the outside, and a strict password policy is applied. We ensure that our employees and external partners only have the necessary data that they need for the performance of their assignment and that they treat that data in a secure and confidential manner.

​However, we cannot be held responsible if incidents should occur at those external partners, in accordance with the applicable legislation, despite the measures taken.

Transfer to third parties?

Kwantz undertakes not to sell, rent or pass on personal data to third parties or to companies or individuals.

​We use an external partner for some aspects of our business operations. This means, among other things, that for certain tasks and/or services we are sometimes forced to temporarily transfer data to a third party. However, you can rest assured that if we do this, we will always ensure that your data is treated and managed with the necessary confidentiality, in a secure manner and with due care.

​With regard to the international transfer of personal data, we follow the level of protection in accordance with the requirements set out in European regulations.

retention period?

Personal data may of course not be kept longer than is necessary in function of the purposes for which they are processed. In that respect, the retention period may therefore differ depending on the purpose. In any case, Kwantz does not store your personal data for longer than is necessary to achieve the purposes for which the data was collected or as long as we are required to do so by law.

What are your rights?

If your personal data is processed, you have a number of rights. We list these for you below.

1.      Right of access/view

As a data subject, you can request access to the data we process about you at any time. If you wish to exercise your right of access, you can do so via the channels listed below. However, in order to exercise your right of access/view and prevent any unauthorized disclosure of your personal data, you must provide us with proof of your identity.

2.      Right to improvement

It may happen that certain data that Kwantz has stored about you is no longer up to date/correct. You can therefore always ask us to correct or complete that personal data, but you must first provide us with proof of your identity as set out below.

3.      Right to data transferability

You have the right to request that your personal data that you have provided to us be transferred to yourself or directly to a third party.  We however would like to point out that the applicable privacy legislation provides for a number of restrictions, so that this right of transferability does not apply to all data.

4.      Right to oppose

If you do not agree with the way in which Kwantz processes certain personal data, e.g. in the context of direct marketing or profiling, you can object to this. To do so, please contact us through the usual channels listed below. Your objection will be granted unless there are compelling reasons not to do so, e.g. legal obligation or performance of the contract.

5.      Right to have your data deleted

Not only do you have the right to have incomplete, incorrect, inappropriate or outdated personal data changed, you also have the right to have it removed. Keep in mind that the applicable privacy legislation provides for a number of exceptions.

Use of cookies

We use cookies on the Kwantz websites. Because your privacy is important to us and we want to make your visit to our websites as pleasant as possible, we think it is important that you know how and why we use these cookies.

​Cookies are small text files that are stored by your computer or mobile device when you visit one of our websites. These cookies contain information such as the language preference, so that this information does not have to be entered each time you visit the websites again.

​Every request for access, correction, deletion  … of data must contain a clear statement of what you specifically want to view, correct, delete… . Your request must be signed and dated and include a copy of the front and back of your identity card. If these conditions are met, Kwantz will process your request as soon as possible and inform you about this.

​For the sake of completeness, we inform you that if we do not respond to your question or if our response does not meet your expectations, you always have the right to submit a complaint to the competent government authorities.
